The equipment decommissioning process, step by step
1. Authorize and plan
Decommissioning should not start on the bench floor. Identify who owns the decision (lab manager, PI, EHS, or facilities, depending on institutional policy), confirm the equipment isn’t still needed elsewhere, and check whether the item was purchased with grant or federal funds — funding source can trigger specific disposition rules before disposal is even an option.
2. Secure and remove data
For any computerized, networked, or LIMS-connected instrument, this step is often the most overlooked. 4. Retain calibration and maintenance records
Even after an instrument leaves the building, its calibration history, maintenance logs, and any validation documentation may still need to be retrievable — for audit purposes, for a buyer or recipient institution, or because a study that used the instrument is still under review. Don’t dispose of these records along with the physical unit; archive them per your institution’s retention schedule.
5. Deregister the asset
