The GND (Gemeinsame Normdatei), known in English as the Integrated Authority File, is Germany’s national authority-data system for identifying people, organizations, conferences, subjects, and works consistently across libraries, archives, and museums. For research administrators working with German institutions — or with any CRIS that ingests German bibliographic metadata — the GND matters because it sits at a junction point: a decades-old library-science identity system that has, over the past several years, built real bridges to the researcher- and organization-identifier infrastructure most of the international research community already uses, namely ORCID and Wikidata.
This guide explains what the GND is, who governs it, how it is structured, and—the part most relevant to a research-information or persistent-identifier (PID) strategy—how it connects to ORCID and Wikidata rather than operating as an isolated national silo.
What the GND is
The GND is a cooperative authority file: a controlled, machine-readable set of records that assign a single stable identifier to a real-world entity, so that catalogers, and increasingly researchers and research-information systems, don’t have to guess which “Müller, Peter” in a catalog is which. It is maintained by the Deutsche Nationalbibliothek (DNB), the German National Library, in cooperation with the German-speaking library networks and their member institutions, the German Union Catalogue of Serials, and other partner organizations — a partnership the DNB refers to as the GND-Kooperative, governed jointly through the Committee for Library Standards (Standardisierungsausschuss).
The GND was formed on 5 April 2012 by merging four previously separate German authority files into one system:
- PND (Personennamendatei) — the personal-names authority file
- GKD (Gemeinsame Körperschaftsdatei) — the corporate-bodies authority file
- SWD (Schlagwortnormdatei) — the subject-headings authority file
- DMA-EST — the Deutsches Musikarchiv’s uniform-title file for musical works
That consolidation is why the GND covers such a broad entity model rather than being limited to, say, just personal names or just subjects — it inherited the combined scope of all four legacy systems.
What the GND identifies
Every GND record is assigned a unique, stable GND identifier (GND-ID) and falls into one of six entity types:
- Person — individuals, including researchers, authors, and other named contributors
- Corporate body — organizations, institutions, companies, and other collective entities
- Conference/event — named meetings, congresses, and events
- Work — uniform titles for creative and intellectual works
- Subject heading (topical term) — controlled subject vocabulary
- Geographic place — named locations
The “Person” and “Corporate body” categories are the two most directly relevant to research administration: a GND person record can represent an individual researcher, and a GND corporate-body record can represent a university, institute, or funding body — playing a role structurally comparable to what ORCID does for people and ROR (Research Organization Registry) does for organizations in the international PID ecosystem, though the GND predates both and was built for library cataloging first, not for the open scholarly-infrastructure use case those two were purpose-built for.
Open, linked data by design
The DNB publishes GND data under a CC0 (public domain) dedication, and makes it available in multiple machine-readable formats — MARC 21 and RDF variants including RDF/XML, JSON-LD, and Turtle — accessible through SRU, OAI-PMH, and the DNB’s Linked Data Service. This linked-data orientation is what makes the GND interoperable with other identifier systems in the first place: because every entity resolves to a dereferenceable URI with structured RDF, other systems can cite a GND-ID the same way they’d cite a DOI or an ORCID iD, and reconcile it against their own records.
The bridge to Wikidata
The most heavily used connection between the GND and the broader linked-data web runs through Wikidata. GND ID is a standard identifier property in Wikidata (property P227), and a very large share of Wikidata’s person and organization items carry a corresponding GND-ID as an external identifier. In practice, this makes Wikidata a connective layer: a Wikidata item for a researcher or institution can simultaneously carry a GND-ID, an ORCID iD, and other identifiers (VIAF, ISNI, and more) as sibling properties on the same item, which lets any system that already consumes Wikidata’s data reconcile a GND record against an ORCID record without either authority file having to build a direct, bespoke integration with the other.
The bridge to ORCID
The more direct GND–ORCID connection runs through a dedicated national initiative: ORCID DE (“Open Researcher and Contributor ID in Germany”), a project focused specifically on promoting ORCID adoption in the German research system and building a working bridge between the GND and ORCID. As part of that effort, a matching process reconciles GND person records against ORCID records to establish links between the two systems, with the explicit goal of improving data quality on both sides — a GND record gains a verified link to a live, researcher-maintained ORCID iD, and the ORCID record gains a connection to the curated bibliographic and biographical context the library-authority-control tradition maintains. Researchers with both a GND record and an ORCID iD can connect the two, letting information flow between a system built for library and cultural-heritage cataloging and one built specifically for researcher self-assertion of their own publication and affiliation record.
For a research administrator, the practical takeaway is this: the GND is not a competitor to ORCID, and it doesn’t ask researchers to maintain a second profile the way a faculty-activity-reporting system might. It functions more like a library-side authority record that can be cross-referenced to a researcher’s ORCID iD once the two are matched, useful anywhere German library, archive, or cultural-heritage metadata needs to interoperate with the international researcher-identifier layer.
The GND and VIAF
The GND also participates in the Virtual International Authority File (VIAF), the OCLC-hosted aggregation that links dozens of national and regional authority files — including the Library of Congress’s name authority file, France’s BnF data, and many others — into a single virtual, cross-referenced record per entity. VIAF membership is what lets a GND person record be matched against its equivalent record in another country’s national library system, independent of the separate Wikidata and ORCID connections described above. Together, VIAF (library-to-library), Wikidata (general linked-data web), and ORCID DE (researcher-specific) give the GND three distinct, complementary interoperability paths rather than one.
Why this matters for research administration
- CRIS and repository metadata quality. An institution ingesting bibliographic or archival metadata that originates in the German library system will likely encounter GND-IDs rather than, or alongside, ORCID iDs and ROR IDs. Knowing that a GND-ID can typically be resolved back to an ORCID iD (via ORCID DE matching) or a Wikidata item (via P227) avoids treating it as an opaque, unreconcilable identifier.
- Author and affiliation disambiguation. Because the GND long predates ORCID and covers cultural-heritage domains ORCID doesn’t (musical works, historical corporate bodies, subject vocabularies), it remains the authoritative disambiguation source for many German researchers’ historical publication record, particularly humanities scholars whose earlier work was catalogued under GND’s predecessor systems before ORCID existed.
- Persistent-identifier strategy. The GND is a useful case study in identifier federation: rather than researchers and institutions choosing one PID scheme and discarding others, the GND shows how a mature, sector-specific authority file can stay relevant by building explicit crosswalks (ORCID DE, Wikidata’s P227) to a global PID layer instead of competing with it.
Frequently asked questions
Is a GND-ID the same thing as an ORCID iD?
No. A GND-ID identifies an entity within Germany’s library-and-cultural-heritage authority system, maintained by catalogers and the DNB; an ORCID iD is a researcher-controlled identifier that the individual claims and maintains themselves. The two can be linked — largely through the ORCID DE matching initiative — but they are separate identifiers issued by separate organizations for separate primary purposes.
Who can get a GND-ID?
GND-IDs are assigned by catalogers within the GND-Kooperative (the DNB and partner library networks) as part of routine cataloging, not self-registered by individuals the way an ORCID iD is. A researcher typically acquires a GND person record because their published work has been catalogued by a participating library or archive, not by applying directly for one.
Does the GND replace the need for an ORCID iD?
No. They serve different functions and audiences. ORCID is the internationally adopted, researcher-maintained identifier expected by most funders, publishers, and CRIS platforms outside Germany’s library sector; the GND is the authority-control backbone for German libraries, archives, and museums. Institutions active in the German research landscape typically need to understand both rather than treat one as a substitute for the other.
