Qualitative Data Collection Techniques

A qualitative data collection technique is the specific, repeatable procedure a researcher uses to generate or capture non-numeric primary data within a qualitative study — distinct from the broader methodological tradition (ethnography, phenomenology, grounded theory, narrative research, case study) that determines how techniques are combined, sequenced, and interpreted. Four techniques account for most qualitative primary data: the semi-structured interview (a predetermined but flexible guide of open-ended questions, allowing probes and reordering); the focus group (a facilitated discussion among roughly 6-10 participants per group, in which group interaction itself, not just individual answers, is the data source); participant observation (the researcher observes, and to a chosen degree takes part in, a setting's ordinary activities, recording field notes); and document or artifact analysis (systematic review of pre-existing texts, records, or images the researcher did not create). A single technique can appear inside more than one tradition — semi-structured interviews show up in phenomenology, grounded theory, and case-study designs alike — so naming the technique alone does not establish a study's overall methodological design.

  • Is an instance

    A case-study design combining two techniques: a researcher attends a research office's grant-review meetings for a semester as a moderate participant (DeWalt & DeWalt's term for being present and interacting without taking on a full decision-making role), recording field notes, while separately collecting and coding the office's internal review-criteria memos as documents — to compare stated review criteria against what is actually discussed in the room.

    A study using focus groups as its sole technique: a research office runs three separate focus groups of 6-8 postdoctoral researchers each, using one common discussion guide, to surface both shared and disputed views on data-management-plan compliance burden. The analysis specifically examines where groups converged and where within-group disagreement itself became data — an output a set of one-on-one interviews would not have produced, because it depends on participants reacting to each other.

    A “focus group” that is actually a sequence of individual questions posed one at a time to each of six people seated around the same table, with no cross-talk or group interaction ever invited or analyzed, is not a focus group technique — it is six individual interviews conducted in the same room. The technique specifically depends on group interaction as data; without it, the label is inaccurate regardless of how many people were physically present.

What a technique is, as distinct from a tradition

Qualitative research” names an overall approach to a question — non-numeric data, a meaning-focused question, inductive analysis, contextualized reporting (see Qualitative Research for that definition in full) — and is most often carried out through one of a handful of established traditions: narrative research, phenomenology, grounded theory, ethnography, and case study. A technique sits one level below that: it is the concrete procedure used to actually produce the data, independent of which tradition the study belongs to. The same technique routinely appears across several different traditions, and a single study frequently combines more than one technique. Four techniques account for most of the primary data collected in qualitative research:

  • Semi-structured interview — an interview built around a predetermined guide of open-ended questions, but conducted flexibly: the interviewer can probe an unexpected answer, reorder questions, or drop ones that no longer fit, rather than reading a fixed script (structured interview) or having no guide at all (unstructured/narrative interview). Kvale & Brinkmann’s InterViews (3rd ed., 2015) is the standard methods reference.
  • Focus group — a facilitated discussion, typically with 6-10 participants and usually run as a series of 3 or more separate groups on the same topic, in which the interaction between participants — agreement, disagreement, the ideas one comment triggers in another — is itself a source of data, not just each person’s individual answer. Krueger & Casey’s Focus Groups: A Practical Guide for Applied Research (5th ed., 2015) is the standard methods reference.
  • Participant observation — the researcher observes a setting’s ordinary activities and, to a deliberately chosen degree, takes part in them, recording field notes as the primary data. DeWalt & DeWalt’s Participant Observation: A Guide for Fieldworkers (2nd ed., 2011) describes a continuum of participation — nonparticipation, passive participation, moderate participation, active participation, and complete participation — and the degree chosen is a methodological decision reported in the study, not incidental detail. Participant observation is the foundational technique of ethnography but is also used inside case-study designs.
  • Document or artifact analysis — systematic review of pre-existing printed, electronic, or visual material the researcher did not create for the study (policies, meeting minutes, correspondence, images, archival records), coded and interpreted the same way interview or observation data would be. Bowen’s “Document Analysis as a Qualitative Research Method” (Qualitative Research Journal, 9(2), 2009, pp. 27–40) is the standard methods reference; because it draws on records that already exist, it is low-cost and unobtrusive, and is frequently combined with interviews or observation to triangulate findings.

Two worked examples

Example 1: Combining participant observation with document analysis

A researcher studying how a research office actually applies its stated grant-review criteria attends the office’s review meetings for a semester as a moderate participant — present, asking occasional clarifying questions, but not part of the decision itself — and records field notes after each meeting. In parallel, they collect the office’s internal review-criteria memos and code them thematically. Neither technique alone would answer the question: the memos show what the office says its criteria are, and the observation shows what actually gets discussed and weighted in the room. The two techniques are combined inside a single case-study design.

Example 2: Focus groups as the sole technique

A research office wants to understand how postdoctoral researchers experience the burden of writing funder-required data management plans. Rather than one-on-one interviews, the office runs three separate focus groups of 6-8 postdocs each, using one shared discussion guide. The analysis specifically looks at two things a set of individual interviews could not produce: where the three groups converged on a shared complaint, and where participants within a single group visibly disagreed with each other once someone raised a specific frustration — the disagreement itself is treated as data about how contested the issue is, not noise to be averaged away.

Counter-example: a group interview is not automatically a focus group

A study seats six participants around a table and asks each of them, one at a time, the same set of individual questions — no participant ever responds to another’s answer, and the transcript is analyzed person by person rather than as a group exchange. This is not a focus-group technique, whatever the study calls it: it is six individual interviews that happen to have been conducted in the same room. Group interaction is the defining feature of the focus-group technique specifically (per Krueger & Casey), not merely the presence of more than one participant — a study that mislabels this as a focus group will misreport its own rigor, since focus-group and individual-interview sample-size and saturation logic are not interchangeable.

Why the distinction matters for research administration

Technique choice, not just the overall qualitative label, drives several concrete decisions a research office and an IRB actually make:

  • IRB review pathway. Under the Common Rule, 45 CFR 46.104(d)(2) can exempt research limited to survey procedures, interview procedures, or observation of public behavior, subject to conditions on identifiability and risk of disclosure. Whether observation-based research is eligible turns partly on whether the investigator is a participant or a non-participant in what’s observed — for research involving children specifically, Subpart D further limits the exemption to non-participant observation, so a participant-observation design that would qualify for exemption with adult subjects may not with minors. This is a technique-level determination, not something settled by calling the study “qualitative.”
  • Consent design. Audio- or video-recording consent language for interviews and focus groups differs from the consent (or, in genuinely public, non-identifiable settings, consent-exemption) needed for observation, and from the data-use terms that govern secondary document analysis, which may not involve human-subjects consent at all if the documents are institutional records rather than personal data.   • Sample-size and rigor logic differ by technique, not just by “qualitative vs. quantitative.” Interview studies typically report reaching thematic saturation; focus-group studies report a number of groups (commonly 3-6) rather than a number of individuals, because the unit of analysis is partly the group exchange; participant observation is usually justified by duration and depth of immersion rather than a headcount; document analysis is justified by the completeness or purposive relevance of the document set. A grant proposal’s Approach section or a manuscript’s methods section that reports the wrong kind of justification for the technique actually used will read as a methods error to a qualitative reviewer.
