Zotero gives you three quick ways to get a citation out of your library: drag items into a text field (Quick Copy), use Edit → Copy Citation or Edit → Copy Bibliography, or build a formatted list with Create Bibliography from Item(s)…. For a paper that will keep changing, the word-processor plugin is a fourth route, and the only one that keeps citations live. The right choice depends on one thing: whether the output should stay linked to your library afterwards.
What it is used for in research
Pulling a formatted citation or reference list out of Zotero is the last step of a reference-management workflow: you collect sources in the library, then output them in the citation style your journal, funder or department requires. Zotero’s documentation describes the two basic outputs as a citation (the in-text or note form) and a bibliography (the full reference list), and it lets you produce either by drag-and-drop, clipboard commands, a saved file, or a word-processor plugin (Zotero quick start guide, checked 2026-10-29).
Install or access (official source only)
Quick Copy and the Edit menu commands are part of the Zotero desktop app itself. The word-processor plugins for Microsoft Word, LibreOffice and Google Docs are bundled with Zotero and install automatically the first time Zotero starts. To reinstall one, open the Cite pane of Zotero’s settings and use its Word Processor Plugins section (Zotero: word processor integration, checked 2026-10-29).
Step-by-step: three ways to get a citation
Route 1: Quick Copy (drag and drop)
- In the centre column of Zotero, select one or more items.
- Drag them into any text field: an email, a web form, a document. Zotero pastes a formatted bibliography.
- To get citations rather than references, hold Shift at the start of the drag.
The style and format Quick Copy uses are set in Zotero’s settings, on the Export tab, where you can pick the export format, set site-specific options and choose whether HTML markup is included when you copy (Zotero: creating bibliographies, checked 2026-10-29).
Route 2: Copy Citation or Copy Bibliography from the Edit menu
- Select the item or items in your library.
- Choose Edit → Copy Citation (shortcut Ctrl/Cmd-Shift-A) for the citation form, or Edit → Copy Bibliography (shortcut Ctrl/Cmd-Shift-C) for the reference-list form.
- Paste into your document.
Note the pairing, because the letters are easy to swap: C for Copy Bibliography, A for Copy Citation (same Zotero page).
Route 3: Create Bibliography from Item(s)
- Highlight one or more items and right-click.
- Choose Create Bibliography from Item(s)…
- Choose a citation style.
- Choose Citations/Notes or Bibliography.
- Choose an output mode: Save as RTF, Save as HTML, Copy to Clipboard or Print.
Zotero notes that a file saved as HTML embeds metadata that other Zotero users can capture, which is useful when you share a reading list with colleagues who also use Zotero (same page).
Route 4: the word-processor plugin (citations that stay linked)
The plugin works in Microsoft Word, LibreOffice and Google Docs and creates dynamic bibliographies: inserting a new in-text citation updates the bibliography automatically. In Word, the Zotero tab has these buttons (Zotero: word processor plugin usage, checked 2026-10-29):
- Add/Edit Citation: adds a new citation, or edits an existing one, at the cursor location.
- Add/Edit Bibliography: inserts or edits the reference list.
- Document Preferences: for example, to change the citation style. See changing the citation style in Zotero.
- Refresh: updates citations and the bibliography with metadata changes made in your library.
- Unlink Citations: removes the field codes. This cannot be undone, so use it only on a final copy. See unlinking Zotero citations and removing field codes.
Output and how to read it
The route you pick decides what you are holding afterwards:
| Route | What you get | Stays linked to your library? |
|---|---|---|
| Quick Copy (drag) | Formatted bibliography, or citations with Shift held | No: it is pasted text |
| Edit → Copy Citation / Copy Bibliography | Citation or bibliography on the clipboard | No: it is pasted text |
| Create Bibliography from Item(s)… | RTF file, HTML file, clipboard copy or printout | No: a one-off output |
| Word-processor plugin | Field-based citations and an automatically updated bibliography | Yes, until you use Unlink Citations |
The first three routes produce text or a file; only the plugin is described by Zotero as creating dynamic bibliographies that update when you add citations or press Refresh. If your reference list will still change (new sources, corrected metadata), use the plugin; if you only need a formatted reference for an email, a form or a slide, use Quick Copy. For slides, see citing sources in PowerPoint with Zotero.
Troubleshooting
- Wrong style in the output. Quick Copy follows the export format set on the Export tab of Zotero’s settings; the plugin follows Document Preferences. Both are covered in changing the citation style in Zotero.
- The Zotero tab is missing in Word. The plugin is meant to install automatically at first start; use the Cite pane of Zotero’s settings to reinstall it (see Install or access above). For other setup problems see Zotero setup and troubleshooting.
- A citation did not pick up a library edit. Press Refresh on the Zotero tab.
- You need plain text with no field codes. Use Unlink Citations on a final copy only.

FAQ
How do I get a citation from Zotero?
Select the item and choose Edit → Copy Citation (Ctrl/Cmd-Shift-A), or drag the item into a text field while holding Shift. Paste the result where you need it.
How do I get a citation out of Zotero for a whole list of sources?
Select several items and use Edit → Copy Bibliography (Ctrl/Cmd-Shift-C), or right-click and choose Create Bibliography from Item(s)… to save the list as RTF or HTML.
What is the difference between a citation and a bibliography in Zotero?
A citation is the in-text or note form; a bibliography is the full reference list. Zotero lets you choose between them in Create Bibliography from Item(s)… (Citations/Notes or Bibliography) and has separate Copy Citation and Copy Bibliography commands.
Will my citations update if I change the library?
Only with the word-processor plugin. After changing metadata in Zotero, press Refresh in the Zotero tab to update the citations and bibliography.
