How to Link ORCID to SciENcv for NIH Biosketches

A step-by-step walkthrough for connecting an ORCID iD to both eRA Commons and My NCBI/SciENcv, the two linked-account checks NIH now requires before a Biographical Sketch, Current and Pending Support, or Biographical Sketch Supplement can pass Common Forms submission validation.

Why NIH now requires an ORCID iD linked in SciENcv

Since January 25, 2026, NIH has required Biographical Sketch, Current and Pending (Other) Support, and the new Biographical Sketch Supplement to be prepared as NIH Common Form documents built in SciENcv (Science Experts Network Curriculum Vitae), the NIH/NLM-hosted CV-building tool at my.ncbi.nlm.nih.gov. The Common Form’s Persistent Identifier field is populated from a linked ORCID iD, and per NIH Guide Notice NOT-OD-26-018, senior/key personnel named on an application must have an ORCID iD connected to their eRA Commons account. After a warning-only grace period (extended once, through May 7, 2026, under NOT-OD-26-033), eRA system validations became hard errors on May 8, 2026 under NOT-OD-26-079 — applications with unlinked or missing ORCID iDs for required personnel are now rejected at submission, not flagged for later correction.

That mandate is described in more depth in CASRAI’s biosketch (NIH-style) definition and the May 2026 enforcement news update. This guide covers the piece neither of those addresses: the actual mechanics of connecting an ORCID iD so SciENcv and eRA Commons both recognize it.

What you need before you start

  • An ORCID iD. If you don’t have one, register free at orcid.org/register before continuing — you cannot create one mid-flow from inside eRA Commons without leaving the page.
  • An active eRA Commons account, with a role (PI, or another role NIH requires to submit a Biographical Sketch or Current and Pending Support) that has a Personal Profile.
  • A My NCBI account, which is what actually hosts SciENcv. My NCBI accepts several sign-in methods, including signing in directly with your eRA Commons credentials — you do not need a separate My NCBI username/password if you sign in that way.

Two separate connections matter here, and NIH’s own guidance treats both as required: (1) ORCID linked to your eRA Commons Personal Profile, which is what NIH’s grants systems actually validate against at submission, and (2) ORCID linked to your My NCBI/SciENcv account, which is what lets SciENcv pull your identifier and works into the biosketch document itself. Doing one without the other is a common source of confusion — the sections below walk through each.

Step 1: Link ORCID to your eRA Commons Personal Profile

This is the connection NIH’s submission validations actually check.

  1. Log into eRA Commons with your own individual account credentials.
  2. Select Personal Profile from the left-hand menu.
  3. Click Create or Connect Your ORCID iD.
  4. If you already have an ORCID iD, choose the sign-in option and authenticate with your ORCID credentials. If you don’t yet have one, select the registration option, provide a primary (and optionally backup) email, set a password, confirm your employment affiliation, choose your record’s visibility setting, and complete the ORCID registration steps.
  5. On the ORCID authorization screen, click Authorize Access to permit eRA Commons to read your ORCID record.
  6. Once linked, your ORCID iD displays directly on your eRA Commons Personal Profile page, and clicking it opens your public ORCID record.

Important constraint NIH’s own help documentation flags directly: an ORCID iD can be linked to only one eRA Commons account. If a researcher has ever had two Commons accounts (a common issue after an institutional transfer or a duplicate account creation), the ORCID iD may already be tied to the wrong one — this is the single most common reason a linking attempt silently fails, and it requires contacting the eRA Service Desk to resolve, since a Commons user cannot unlink or reassign the connection themselves. Removing an ORCID connection from a Commons profile also requires eRA Service Desk assistance; it is not self-service.

Step 2: Link ORCID to your My NCBI / SciENcv account

This second connection is what lets SciENcv itself populate the Persistent Identifier field and offer to pull in works associated with your ORCID record when you build a biosketch document.

  1. Go to ncbi.nlm.nih.gov/account and sign in — choosing the eRA Commons sign-in option is the simplest path if you already completed Step 1, since it routes you to eRA Commons to authenticate and then back into My NCBI automatically.
  2. Once signed in, click your username in the top right corner and select Account settings.
  3. Scroll to the Linked Accounts section and click Add account.
  4. Search for “ORCID” in the list of login providers and select it.
  5. You’ll be redirected to ORCID’s own sign-in page. Enter your ORCID credentials.
  6. If this is the first time linking, ORCID will show an authorization prompt — click Authorize Access to let NCBI read your ORCID record. If your ORCID iD was previously associated with an older, separate NCBI account, the system will attempt to identify and merge that existing data automatically.
  7. Confirm the connection by creating (or opening) a SciENcv document — the Persistent Identifier field should now populate with your ORCID iD automatically.

One documented failure mode worth knowing before you start: if you have previously attempted this and seen the error “The 3rd-party account you tried to link is already linked to another NCBI account,” NCBI’s own guidance is specific — do not attempt to resolve it by logging in with the ORCID button for this step. Log in to My NCBI through your normal route (eRA Commons or another linked method) first, then add ORCID from inside Account settings as described above, rather than trying to sign in directly via ORCID.

What happens after both connections are made

Once ORCID is linked on both sides, three things follow:

  • The Persistent Identifier field auto-populates. Any new or existing SciENcv document you generate carries your ORCID iD in the field NIH’s Common Form structure expects, without manual entry.
  • Works can sync from your ORCID record. SciENcv can pull publications and other works associated with your ORCID iD into the Products section of the biosketch, reducing manual entry — though it’s still worth reviewing the imported list against your ORCID record directly, since SciENcv’s import behavior depends on what’s actually populated (and made visible) in your ORCID works list at the time you sync.
  • eRA Commons validation clears. Because Commons is the system NIH’s submission pipeline actually checks against (not SciENcv directly), completing Step 1 is what allows an application naming you as senior/key personnel to pass the eRA hard-error check introduced May 8, 2026. Step 2 (the SciENcv-side link) is what makes the document itself correct and complete — you need both, not one in place of the other.

Troubleshooting and re-authorization

  • Only the individual can link their own ORCID iD — not an institutional administrator or Signing Official on their behalf. This is consistent with how CASRAI’s ORCID for Senior/Key Personnel entry describes the requirement: each named individual must personally authenticate to both ORCID and eRA Commons/My NCBI to complete the authorization step, since it depends on an OAuth-style permission grant only the ORCID account holder can approve. A grants office can prompt personnel and track who’s linked, but cannot complete the linking itself.
  • “Already linked to another account” errors are the most commonly documented failure on both the eRA Commons side (usually a duplicate Commons account) and the My NCBI side (usually an ORCID iD previously linked to an older, separate NCBI account). Both require going through the specific recovery path above rather than repeatedly retrying the same link attempt.
  • If a connection appears to have lapsed (e.g., the Persistent Identifier field stops populating, or an eRA validation flags a missing ORCID iD despite a prior successful link), the fix is to repeat the relevant linking step above and re-authorize — OAuth-style connections between systems can require re-authorization after a password change, an account merge, or an extended period of inactivity on either side.
  • Fellowship, career development, and trainee applicants are specifically called out in eRA Commons documentation as needing a linked ORCID iD to pass validation, in addition to standard senior/key personnel.

Do I need to link ORCID in both eRA Commons and My NCBI/SciENcv, or just one?

Both. NIH’s submission validations check the eRA Commons connection; SciENcv’s own document generation (the Persistent Identifier field and any works-import from ORCID) depends on the separate My NCBI-side connection. Linking only one leaves the other function incomplete.

Can my grants administrator link my ORCID iD for me?

No. The connection requires you to personally authenticate to ORCID and authorize access, both when connecting to eRA Commons and when connecting to My NCBI/SciENcv. An administrator can request and track whether it’s been done, but cannot complete the authorization step on your behalf.

What if I already have two eRA Commons accounts and my ORCID iD is linked to the wrong one?

An ORCID iD can only be linked to one eRA Commons account at a time. If it’s attached to the wrong one, eRA Commons help documentation directs you to contact the eRA Service Desk to resolve it — this isn’t something you can fix yourself from the Personal Profile page.

Will SciENcv automatically pull all my publications from ORCID?

SciENcv can sync works associated with your linked ORCID iD, but what actually comes through depends on what’s populated and visible in your ORCID works list at the time of sync — review the imported Products section against your ORCID record rather than assuming it’s complete.
