Editorial commentary
Project closure documentation is the set of documents produced at the end of a project to create an auditable record of what happened: what was delivered, what was spent, what data and equipment were disposed of or archived, and what obligations, if any, remain outstanding. It is the paper trail the closeout phase produces, not the process itself — closeout is the administrative activity; closure documentation is its output.
What it typically includes
A closure pack commonly contains the final report, the final financial report, a project closure checklist, an equipment disposition record, a data-archive certificate confirming datasets have reached their designated repository, a lessons-learned summary, an IP disclosure list, a dissemination record, and, for consortium projects, a record of consortium dissolution where applicable. Many institutions maintain a standard closure-pack template so nothing is missed.
Retention
Most funders require closure documentation to be retained for a defined period after project end — commonly several years, and often specified directly in the grant agreement or an institutional records-retention policy — because it is the primary evidence base if an audit, an inquiry, or a data-provenance question arises well after the project team has moved on. A closure pack assembled carelessly at the time is disproportionately expensive to reconstruct later, since the people who could answer questions about it may no longer be reachable.
Why it matters and what it is not
Strong closure documentation supports audit response years after a project ends, gives future proposal-writers real context to draw on, and preserves institutional memory that would otherwise leave with departing staff — which is why it is closely related to, but not identical to, offboarding (offboarding is about a person’s exit; closure documentation is about the project’s complete record). An interim report filed mid-project is not closure documentation — it belongs to an earlier reporting period and does not carry final-outcome status.
