Editorial commentary
Project onboarding gets a new person, or a new consortium partner, from “not yet involved” to productive and compliant participation as quickly as risk allows. It applies in two quite different situations that share the same mechanics: a new individual joining an ongoing project (a postdoc starting, a new co-investigator added), and a new organisation joining a multi-partner consortium mid-project.
What individual onboarding covers
Typical onboarding artefacts include a project handbook or wiki, provisioning of data-access and code-repository credentials, mandatory training (research ethics, biosafety, EDI, research-integrity training as applicable to the role), an introduction to the project’s regular governance meetings, and often a designated mentor or buddy for the first weeks. None of this is optional scaffolding — ethics training and access controls in particular are compliance requirements, not just onboarding convenience, and a new team member acting on project data or systems before that is complete is a real institutional risk.
What partner onboarding adds
When an organisation joins a consortium mid-project — replacing a withdrawing partner, or via a planned staged addition — onboarding also requires formal accession to the Grant Agreement (an amendment recognising the new beneficiary) and to the Consortium Agreement (accepting its governance, IP, and default terms). This is a heavier process than individual onboarding: it typically requires funder approval of the amendment before the new partner can formally begin charging costs to the award, and the incoming partner inherits the IP-access and default-liability terms the existing Consortium Agreement already sets, rather than a fresh negotiated set of terms.
How it differs from a hand-off
Onboarding is broader than a single hand-off: a hand-off transfers specific responsibility and artefacts from one person or team to another at a defined point, while onboarding is the whole process of bringing someone into a project’s governance, systems, and compliance obligations, which may include several individual hand-offs (from a departing predecessor, from a PI, from an institutional research-office contact) along the way.
